Below, are some of the most commmon FAQ's for 1TRACKER and its security management application, bizDAV. If you cannot find an answer to your question in our FAQ's or 1TRACKER's online help, please contact customer support.
Administration Answers
Administration Answers: AD-1.
Your company's administrator (HQ Person) sets up your business information, list of Persons (user login
accounts), password management rules, application security, and security groups. These activities are all
performed in bizDAV. The HQ person specifies a person/s with the function Maintain Office for 1TRACKER.
A user who belongs to a group, such as the factory group "1TRACKER Super Users", having the
function, Maintain Office, will be able to specify the basic configuration of your office and administrative
details. He/she can also add workers, clients, and projects to your office, and define worker populations and
billing rates. Each worker in 1TRACKER corresponds to a Person in bizDAV, but must still be activated
in 1TRACKER.

Your Office's week start day is period-specific. Please do the following:
- Click the 'Maintain Office' button. The detail-edit page, 'Maintain your Office', will appear.
- Go to 'Edit Localization Properties' and click on the 'Week Start' pop-up list. Click on the desired week
start day.
- Click 'Save'.

Yes, 1TRACKER gives you the flexibility to assign variable rates for worktypes to different workers. You can specify these rates in the Rates Sets Matrix.

No, you can use the 'Copy Now' feature to automatically copy all of the previous period's population and rates for all standard rate sets and projects. To access this feature:
- Click 'Maintain Office'.
- Click 'Periods'.
- Click the detail-edit icon next to the most recent period. The detail-edit window,'Edit a Period', will
appear.
- Enter a starting date, code name, and long name for your new period.
- Click 'Yes' in the 'Copy Now' field. Any current population/rates for this period, if present, will be
deleted.
You are free to rename the first period, if you wish. P1 is used, by default, in 1TRACKER for your first
period.

Password & Login Answers
Password & Login Answers: PL-1.
All the password issues related to 1TRACKER are managed by bizDAV, 1TRACKER's security administration
application. To change your password, follow these steps:
- Login to bizDAV.
- Select 'My Profile'.
- Click the 'My User Info' icon or link.
- Enter your new password in the 'Password' field.
- Re-enter your new password in the 'Retype Password Field'.
- Click

This error message indicates that your password is not correct. This is often caused by simple typing errors,
or the CAPS LOCK key being pressed. Be careful here as you only have three attempts until your account will
be suspended.

If you are a general user of 1TRACKER, you must contact your company's 1TRACKER system administrator or HQ
person. He/she will reset the password. If you are your Business' HQ Person, click the 'Forgot' button, on
the login panel, to restore your account. If that fails, contact 1TRACKER support.

1TRACKER has certain inbuilt security features to ensure the privacy of your information. 1TRACKER
automatically logs you off if you are inactive for a set period of time, referred to as inactivity timeout.
You can specify your inactivity timeout, anywhere from 2 to 30 minutes, in the 'My User Info' section. The
default timeout is set at 15 minutes.

1TRACKER retains only those changes that you save. So, remember to save any changes to your data, regularly.
You can click on the Refresh button to extend your current session; however, any unsaved changes to your work
will not be saved with a refresh. After a refresh, your inactivity timeout timer will start over.

The account suspended message indicates that you or someone else, using your user id, has entered the wrong
password too many times to access the 1TRACKER or bizDAV application. 1TRACKER automatically suspends
the account after three incorrect trials accessing the application. To reactivate your account, you need to
contact your Business' HQ person (system administrator) or click the 'Forgot' button on the login panel.

1TRACKER provides the convenience of 24/7, universal access. It is most likely a problem with your firewall
settings disabling this client browser's IP address, on purpose. The firewall settings for your business
office do not currently give you access to 1TRACKER or bizDAV. You will have to contact your business'
HQ person (system administrator) to change your business' or personal firewall settings.

If you receive this message, it is an indication that an unauthorized user has attempted to take over your
1TRACKER/ bizDAV session. As one of 1TRACKER's/bizDAV's built-in security measures, you are
instantly logged out, when this occurs. The unauthorized user will also be logged out.

Workflow Answers
Workflow Answers: WF-1.
1TRACKER allows an 'agent worker' to enter project-related reports on behalf of one or more workers. A person
who belongs to a group, having the function, Maintain Workers, can specify the agent management details in
the 'Details for a Worker' page of 1TRACKER.

You can associate your clients in 1TRACKER, as client approvers. These are workers on the client side
responsible for approving project-related reports. Only your office's HQ person can associate clients to
1TRACKER. To associate your client with 1TRACKER, perform the following steps:
- Login to the bizDAV application.
- Click on 'Persons'. A list of persons for your office will be displayed. If the client-associated person
is not in the list, you must first add him/her. To do so, click
Add
.
- Click the 'Groups' button. A list of security groups applicable to your office will be displayed.
- Find '1TRACKER client approvers' factory group in the list and click on the associated detail-edit icon.
The detail-edit window, 'Edit a Security Group', will appear.
- Click the edit icon next to 'Persons' to assign your client to the security group, '1TRACKER client
approvers'. A selection window will appear from which you can select the person to add to the security
group.
- Click inside the 'Sel' box next to the person you wish to add and click 'Save Selected'.
- In 1TRACKER, add this person as a worker in 'Maintain Workers'.
- In 'Maintain Projects', assign this worker as a client approver for the required projects. Now, this
client account can login to 1TRACKER to approve/reject reports. The client is referred to as CLO for Client
Login only.

Only users who belong to a group, with the function, 'Maintain Rates', can add worktypes to your list of rate
in the rate sets matrix. This is usually your office's 1TRACKER administrator. If you require additional
worktypes, please contact him/her.

Population & Rates Set Matrix Answers
Population & Rates Set Matrix Answers: MX-1.
You must belong to a group having the function, Maintain Rates. Billing rates can be applied to standard rate
set projects and external non-standard rate set projects. To apply billing rates for standard rate set
projects, you must first define the standard rate sets for your office.
- Login to 1TRACKER and click on 'Office'. The 'Maintain your Office' page will appear.
- Click 'Standard Rate Sets'. The 'Maintain Standard Rate Sets' page will appear. Here, you can define your
office's standard rate sets. Once the standard rate sets have been defined, your workers can be assigned to
the standard rate sets applicable to them.
- Click on 'Population and Rate Sets'. The 'Population and Rate Sets Definition' page will appear.
- Use the four selection boxes to customize your population/rate sets matrix. Make sure that 'Standard Rate
Sets' is selected from the rate sets pop-up list. (This is the default in 1TRACKER)
- Click 'View Matrix'. The 'Population Matrix' window will appear, by default. Here, you can assign your
office workers to the applicable standard rate sets by clicking in the associated cells. A checkmark will
appear in the cell if it has been selected. Click
Save
to enter your selections into the database.
- Click 'Billing Rate Sets' from the Mode pop-up list. The 'Rate Sets Matrix' page will appear. Wherever
you see a white cell, a billing rate can be entered. Once you have entered your workers' billing rates,
click
Save
.
To apply billing rates for external non-standard rate set projects:
- Login to 1TRACKER and click on 'Population & Rate Sets'. The'Population & Rate Sets Definition'
page will appear.
- Use the four selection boxes to customize your population/rate sets matrix. Make sure that 'External Non
Std Rate Set Projects' is selected from the rate sets pop-up list.
- Click 'View Matrix'. The 'Population Matrix' window will appear, by default. Here, you can assign your
office workers to the applicable external non-standard rate set projects, by clicking in the associated
cells. A checkmark will appear in the cell if it has been selected. Click
Save
to enter your selections into the database.
- Click 'Billing Rate sets' from the Mode pop-up list. The 'Rate Sets Matrix' page will appear. Wherever
you see a white cell, a billing rate can be entered. Once you have entered your workers' billing rates,
click
Save
.
Note: No billing rates are associated with internal non-std rate set projects. All worktypes for internal
projects will automatically be available to assigned workers.

You can use the selection boxes displayed on the Population & Rate Sets Definition page to customize your
matrix for simplified viewing. 1TRACKER allows you to select subsets of workers, worktypes, periods, and rate
sets-this flexibility enables you to zoom in on the information you wish to view.

Project Answers
Project Answers: PR-1.
To create a new project report:
- Select the report type i.e. timesheet, status report, or expensereport.
- Select the time period for your new report.
- Click the pop-up box, 'Please select a project'. A list of projects available to you will be
displayed.
- Select a project from the list by clicking on it. If you have an existing report for that time period, a
message will appear indicating this. If there is no report for that project in the week selected, the
'Details' page for the new report will appear. You can then enter information into your new report.

Project Answers: PR-2.
If a project has any associated activity, i.e. timesheets, statusreports, expensereports or bills, then it
cannot be deleted. This is necessary to maintain data integrity in 1TRACKER. Only a worker who has the
function,'Maintain Projects', can delete projects. If you no longer wish to have a project appear in your
task lists, you may inactivate it in 'Maintain Projects'.

Project Answers: PR-3.
1TRACKER allows you to specify a fixed percentage, applied to all expenses in expensereports for a specific
project. You can specify this fixed margin in the 'Details for a Project' page, below the heading, 'Edit
Population and Rate Information'. E.g. An interior designer wishes to add a 25% margin on all expenses.

You can enter project-specific comments in the 'Notes' column of the Project activity/timekeepers table, on
the homepage. Click the edit icon next to the project you wish to enter comments for. A new window will
appear, in which you can type your comments. Click
Save
when you are done. All workers assigned to the project will be able to view any associated comments by
clicking the edit icon. Only one worker may make changes to this notes section at any point in time.

Timesheet Answers
Timesheet Answers: TS-1.
No, the worktype will be deleted from the current timesheet only, but not from any other existing timesheets
for that project. The worktype will also be deleted from your bookmarked timekeepers.

Expense Answers
Expense Answers: EX-1.
You can view employee expense reimbursements in worker activity reports. These can be worker or
office-specific. To access this information:
- Click 'Reports'. The 'Select Reports' page will appear.
- Click 'All Workers Reports' to view expense reimbursements for your whole office OR click 'Worker
Reports' to view expense reimbursements for a specific worker.
- Select the period for the activity report, from the period pop-up list. A worker activity report for the
specified period will appear.
- View the percentage ratios for expense reimbursements.
- Go to 'Money for not Reimbursed Expensereports' or 'Money for Reimbursed Expensereports' to view
expensereport reimbursement details.

Approval Answers
Approval Answers: AP-1.
The order of approvals in 1TRACKER is : Worker>Project Manager> Client Manager> Account Manager.
Timesheets, statusreports, and expensereports display two approvers, by default, the worker, and project
manager. The client manager and account manager are additional optional approvers. Bills display only one
approver, by default, the project manager. Additional approvers can be assigned in 'Maintain Projects' under
the heading, 'Edit Managers'.

Any reports requiring your approval will be displayed on your 1TRACKER homepage. These will appear in the
section 'You have to approve'. Each report type, along with the number of approvals required, is displayed.
To approve any report type, simply click on the associated icon. A list of reports for the selected report
type will appear, from which you can select a report for approving.

1TRACKER displays the approval status of reports waiting for approval, on the 'Timesheets to Approve' or 'My
Timesheets' page. Here, you can view who has approved a report, and which approver is next in line for
approving that particular report.

This can occur whenever a timesheet, statusreport, or expensereport is rejected by another approver down the
approval line. This results in the report going back to the worker who created it, for editing and
re-submitting. The corrected report must then go through the entire approval cycle for re-approval.

Only the worker who originally created the report can make the required changes. In the case where the report
was created by an agent worker, only the agent worker can correct it.

To add comments, click on 'Edit Comments' in the approval box. A new window will appear. Click inside the
window to begin entering text. Click

when you are done. The comments window will close and your entered text will appear in the comments section
of your report.

Only the project manager of a specific client-project can create bills, for that project.

You can view both approval and payment status of a bill by going to the 'Payments' page. A list of bills

'HQ Persons' is a security factory group, defined in bizDAV, that has full administrative privileges
for your business. The person first designated, here, as your company's HQ Person, is normally the person who
has signed up for 1TRACKER. You can have more than one person in the 'HQ Person' group. These additional
persons will have all the same administrative privileges, but they will not have the 'HQ Person' designation.
